Australian Privacy Principles

Personal Information is information which reasonably allows someone to identify you. This can include a person’s name, age, gender, postcode and contact details. It may also include financial information, such as credit card or transaction details, as well as a range of other types of data

We treat all personal information in accordance with our obligations under the Privacy Act 1988 (Cth) (Privacy Act) including the 13 key principles in relation to the collection and treatment of personal information called the “Australian Privacy Principles”.

By using the app, you accept and agree to the terms of this Privacy Policy (and any updated or replacement posted on our Site or App). Such consent does not supersede or replace any other consents that you may have previously given to us.

1. WHAT INFORMATION DO WE COLLECT, HOW DO WE COLLECT IT and WHY DO WE COLLETCT IT?

We collect or generate the following categories of information in relation to the mobile application

Personal Information

  1. We collect personal information, like your phone number, email address, first and last name that you provided to us.
  2. Certain aspects for the usage of the app may require an account to be created for and designating a user ID and password. As your account admin we will use your name, email and phone number to create your log in credentials. We will (a) manage your account (including making inactive or cancelling); (b) reset your password if required and requested; (c) view your usage and profile data, including how and when your account is used.

Sensitive Information. Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

We do not process, record Or share any sensitive information.

Application Data. If you use our application, we also may collect the following information if you choose to provide us with access or permission:

  • Push Notifications. – If you have enabled notification on our desktop and mobile applications, we will push notifications through a push notification provider such as Apple Push Notification Service, Google Cloud Messaging or Windows Push Notification Services. You can manage your push notification preferences or deactivate these notifications by turning off notifications in the application or device settings.

Purchase Order Details: The purchase order created by you for and behalf of us using the application which contains the following

  • Order Items: Information about the products or services being ordered.
  • Quantities: The amount of each item being ordered.
  • Supplier Information: Details about the suppliers or vendors involved.
  • Order Date: When the order was place

Methods of Information Collection

We collect personal information through the employee details forms from the HR records provided by our admin team. This information is used for managing and accessing our internal purchase order app

2. HOW DO WE PROCESS YOUR INFORMATION?

Specifically, we use personal data for the following purposes

  • To set up and maintain your account,
  • To generate and send purchase request to the suppliers for us through the app.
  • To communicate with you regarding app-related matters.
  • To ensure security and prevent unauthorized access

3. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

We may need to share your personal information in the following situations:

  • Internal sharing – the app is intended for use by our internal employees. Therefore, personal information collected through the app might be shared with our senior employees, senior management and admin team to facilitate its intended use (e.g., purchase order generation).
  • Third-Party Service Providers: The app integrates with third-party cloud storage services Amazon Web Server (AWS). Personal information might be shared with those service providers. The third-party service providers we work with adhere to strict data protection standards and are bound by data protection agreements. 4. HOW LONG DO WE KEEP YOUR INFORMATION?

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Policy, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

5. HOW DO WE KEEP YOUR INFORMATION SAFE?

We are committed to maintaining the security and confidentiality of the personal information that you provide to us, and we will take all reasonable precautions by taking appropriate administrative measures to safeguard how and who has access to your data to protect your Personal Information from unauthorised access, alteration, or disclosure. We store your hard copy and electronic records in a secured system.

We use AWS  for enhancing the security of our network environment. When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information.

However, no method of transmission over the Internet, or method of electronic storage, is completely secure. Therefore, we cannot guarantee the absolute security of your personal information. Although we will do our best to protect your personal information. You should only access the Services within a secure environment.

6. DO WE COLLECT INFORMATION FROM MINORS?

We do not knowingly collect information from individuals under 18 years of age. If we become aware of such data, we will take steps to delete it. If you suspect we have collected data from a minor, contact us at [email protected].

8. CONTROLS FOR DO-NOT-TRACK FEATURES

Our app does not request or use location data, so you do not need to manage location permissions.

We may update this Privacy Policy from time to time. The updated version will be indicated by an updated “Revised” date at the top of this Privacy Notice. If we make material changes to this Privacy Notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification.
